MANAGER OF OPERATIONS

Job Description

OVERVIEW:  Since 1886, University Settlement has been providing strengths-based community-based programs for children. Currently, the Settlement operates after-school programs for elementary and middle school children at several sites in Brooklyn and Manhattan.

Reporting to the Senior Program Director, the Manager of Operations will develop and implement systems, policies and processes to support efficient operations for the Brooklyn Division. In collaboration with leadership and administrative offices, the Manager of Operations will oversee compliance related to funding sources, ensure adherence to the agency’s fiscal practices and maintain a bird’s eye view of Brooklyn’s budget and financial transactions. This position requires a creative, energetic, systems thinker who is committed to efficiency that supports the highest quality of programming for children and families.

 

RESPONSIBILITIES:

·        Implement and develop systems and policies to maximize efficiency and effectiveness of Division operations

·        Assess and optimize Division and site-specific systems; support supervisors with capacity building as needed

·        Support operations and administration by training staff across the Division on operational processes

·        Manage compliance related to Department of Health and DYCD (Summer camp permits, waivers, etc.) and support site supervisors with all related processes

·        Manage Division finances, ensuring adherence with USS fiscal practices

·        Manage Division-wide purchasing, ensuring that purchases are in line with program budgets

·        Act as liaison with IT to move forward technology initiatives and tasks across the division

·        Monitor and manage Salesforce and support Division evaluation and reporting

·        Train supervisors and Division staff according to USS fiscal and operational standards

·        Support Division-wide leadership and strategic program planning

·        Manage special projects and Division-wide capacity building initiatives

·        Other duties as assigned supervisor

 

QUALIFICATIONS:

·        Bachelor’s degree preferred

·        At least 3 years’ experience developing systems and processes

·        Demonstrated project management capability, with experience using tools like spreadsheets and databases to manage projects and communicate with stakeholders

·        Demonstrated ability to work across levels of management and to effectively lead teams

·        Experience in an administrative capacity in a youth development program

·        Exemplary organizational, analytical and communication skills

Salary Information

Hour: Full time
