Director of Maintenance & Facilities
Job Description
Position Description: Reporting to the Executive Director, the Director of Maintenance & Facilities is in charge of the entire physical plant, its systems, equipment, utilities and furnishings. Working collaboratively with the Executive Director and the maintenance staff, this individual proactively maintains and repairs all elements of the house to keep it in good working order while adhering to safety standards and complying with city and state codes at all times.
Responsibilities:
Supervision
- Hiring of maintenance staff (housekeepers)
- Supervision of housekeepers, including conducting quarterly staff meetings to review and monitor progress and annual performance evaluations
- Meet with the Executive Director on a monthly basis to provide updates
Direct Duties
Daily
- Proactively maintain the physical plant, its systems, equipment, utilities and furnishings. Must be alert to potential issues and should automatically take preventative and corrective measures to resolve the issues.
- Responsible for the maintenance of the boiler(s), air conditioning units, sewer system, electrical system, alarm system, fire extinguishers, sprinkler system, chimney maintenance.
- Knowledge of plumbing, electrical and light carpentry work is necessary.
- Director will be responsible for adhering to an annual budget for supplies and necessary repair/maintenance work. All major projects must be approved by the Executive Director for practical and financial reasons.
- Sidewalks and stairways in front of the building must be properly maintained including picking up of any debris, sweeping and/or hosing. In the winter months, this will include snow removal and the distribution of ice melting materials.
- Courtyard must also be properly maintained in the same fashion as the front of the building.
- Alleyway, which is a means of egress, must be cleaned and kept clear of debris at all times. This passageway is a fire escape alley.
- Maintenance of the garbage storage area, which involves properly bagging/boxing garbage and putting it out for pick-up by the Dept. of Sanitation. This also includes keeping the storage area (above mentioned alleyway) clean and disinfected. The garbage containers must also be kept clean and covered.
- Assist the housekeepers with more difficult tasks such as moving furniture, shampooing carpets, waxing floors, etc.
- Purchase cleaning and household supplies on a regular basis to maintain our supply internally.
- Stay up-to-date on codes (e.g. building codes and health codes) imposed by various city and state agencies as well as FDNY and maintain our compliance with such codes.
- Meet with inspectors from such agencies, (e.g. the Department of Health & Mental Hygiene, FDNY, DEP, etc.) during inspections and work to correct any potential violations as soon as possible
- Handle emergency situations as they arise and prioritize the workload
- Conduct a walk-through of the house daily, which shall include, but is not limited to: check studio roof and clean drains when necessary, always keep an eye on safety, always turn off unneeded lights, a/c, items left in the wrong place, check for students/children using the fire stairs, check for children playing in unsafe conditions
- Work closely with Program Directors to coordinate house logistics as it relates to programs, inspections and space rentals that affect program spaces
Yearly
- Clean chimney – extract and retrieve all soot (about 40lbs.); Summertime
- Thoroughly clean back courtyard and clean front entrance door gutters; March & August
- Clean grease traps, sewage traps, drains (on street side by theater exit doors); 2x/yr
- Conduct fire drills and be sure they meet the speed time. If they do not, correct the mistakes; Once a month
- Fire extinguishers are inspected 1x/yr (December) by an outside agency, but Director must personally inspect them once a month.
- Sprinklers are inspected every month and hydrostatic tests are conducted every 5 years.
- Repair minor cracks in sidewalks that occur yearly due to change in seasons
Qualifications: Candidate must be computer savvy, proficient in Microsoft Office Suite and have the Supervision of Fire Alarm Systems license. Low Pressure Boiler’s Permit and Sprinkler System license is a plus.
Performance Review: All new employees work on a probationary basis for the first 90 calendar days after their date of hire. An initial performance evaluation will be conducted at the end of these first 90 days. Performance reviews are then conducted annually, coinciding with the anniversary of the original hire date. Regular check-ins to assess priorities and agreed-upon benchmarks of activity will happen informally.
